1. Who we are and what this policy covers
SATX Notary ("we") provides in-person and mobile notarization in San Antonio and nearby. SATX Notary and Notarize Texas (notarizetexas.io) are run by the same business and share one booking system. This policy covers satxnotary.com and the in-person visits booked on it.
2. What we collect
When you read this site. Reading the pages sets no cookies (the one cookie we use, after a booking, is described in section 10), and the pages use no analytics or advertising tools. We keep no record of which pages you read. Cloudflare processes your IP address and each request to deliver the page and protect the site.
When you book a visit. We collect:
- The visit address you enter, and the road miles and drive time to it.
- Your name, email address, and phone number.
- Your answers to the booking questions: the document category you pick from a list, the number of signers, the certificates you choose from the forms Texas provides, and your answers to the yes-or-no questions about the signers, their identification, and the document. We never collect what your document says.
- Your appointment time and status, your quote, and your agreement to the declarations, with the version you saw.
- Payment references from Stripe. We never see or store your card number.
After the visit. Which notarial acts were performed and what was charged, or what happened if the notarization did not go ahead. If the notary declines a notarization, the notary's reason is stored encrypted and is never sent to you or anyone else.
When you email us. What you choose to tell us.
3. What we never collect
We never ask for or store your Social Security number, a driver's license or other identification number, an image of your identification, or your card number. The notary looks at your identification in person at the visit.
4. How we use it
We use your information to check the visit address and quote the travel fee, schedule the visit and the notary's drive to it, send your confirmation, reminder, and receipt, charge your card as the terms and the cancellation policy allow, keep the records Texas law requires, and answer your questions. We do not sell personal data, and we do not use it for advertising.
5. Services that process your information
- Cloudflare hosts this site, the booking system, and its database. Cloudflare Turnstile, the security check on the booking page (loaded only while booking is open), receives your browser's signals and your IP address.
- Google Maps Platform checks the address you type on the booking page (Geocoding API) and measures the road miles and drive time to it (Routes API). Google receives that address and the route's end points.
- Google Calendar holds the notary's busy times so no time is booked twice. A booked visit appears there as "In-person appointment" with the drive minutes, and with no name, address, email, phone number, or document details.
- Stripe saves your card on Stripe's own page and processes each charge. When checkout starts, Stripe receives your email address and the appointment's reference number; the card details you enter go to Stripe, never to us.
- Resend delivers our emails. It receives your email address and each message, and the confirmation and reminder include the visit address.
6. Protecting your information: Texas Business and Commerce Code chapter 521

Sec. 521.052. BUSINESS DUTY TO PROTECT SENSITIVE PERSONAL INFORMATION.
(a) A business shall implement and maintain reasonable procedures, including taking any appropriate corrective action, to protect from unlawful use or disclosure any sensitive personal information collected or maintained by the business in the regular course of business.
(b) A business shall destroy or arrange for the destruction of customer records containing sensitive personal information within the business's custody or control that are not to be retained by the business by:
(1) shredding;
(2) erasing; or
(3) otherwise modifying the sensitive personal information in the records to make the information unreadable or indecipherable through any means.

Tex. Bus. & Com. Code § 521.053(b), (i) (first sentence)
Sec. 521.053. NOTIFICATION REQUIRED FOLLOWING BREACH OF SECURITY OF COMPUTERIZED DATA.
(b) A person who conducts business in this state and owns or licenses computerized data that includes sensitive personal information shall disclose any breach of system security, after discovering or receiving notification of the breach, to any individual whose sensitive personal information was, or is reasonably believed to have been, acquired by an unauthorized person. The disclosure shall be made without unreasonable delay and in each case not later than the 60th day after the date on which the person determines that the breach occurred, except as provided by Subsection (d) or as necessary to determine the scope of the breach and restore the reasonable integrity of the data system.
(i) A person who is required to disclose or provide notification of a breach of system security under this section shall notify the attorney general of that breach as soon as practicable and not later than the 30th day after the date on which the person determines that the breach occurred if the breach involves at least 250 residents of this state.

What we do: we do not collect the identification numbers, Social Security numbers, or card numbers that the chapter's definition names. If you tell us about a health condition to arrange an accommodation, we treat it as sensitive and keep it only as long as the visit needs it. Your contact details, your answers, and the visit address are stored encrypted. Records we no longer keep are deleted. If a breach of our system's security affects your information, we will notify you, and the Texas attorney general when the law requires, within the times quoted above.
7. The Texas Data Privacy and Security Act: Texas Business and Commerce Code chapter 541

(a) This chapter applies only to a person that:
(1) conducts business in this state or produces a product or service consumed by residents of this state;
(2) processes or engages in the sale of personal data; and
(3) is not a small business as defined by the United States Small Business Administration, except to the extent that Section 541.107 applies to a person described by this subdivision.

Sec. 541.107. REQUIREMENTS FOR SMALL BUSINESSES.
(a) A person described by Section 541.002(a)(3) may not engage in the sale of personal data that is sensitive data without receiving prior consent from the consumer.

What we do: we are a small business as the U.S. Small Business Administration defines it, so under § 541.002(a)(3) the Act applies to us only as § 541.107 provides. We do not sell personal data of any kind, sensitive data included, so we never need the consent § 541.107 requires for a sale. The visit address, which can show where you will be, is used only for your visit.
8. The notary record book: Texas Government Code § 406.014

Sec. 406.014. NOTARY RECORDS.
(b) Entries in the notary's book are public information.
(c) A notary public shall, on payment of all fees, provide a certified copy of any record of official acts in the notary public's book of record to any person requesting the copy.
(g) A notary public shall retain the records required by Subsection (a) until the 10th anniversary of the date of notarization.

What we do: the notary keeps the record book as this section requires, provides a certified copy of an entry to any person who requests it and pays the fee, and keeps the book until the 10th anniversary of each notarization. The record book never holds an identification number or an image of identification.
9. How long we keep it
- An address check expires 1 hour after you enter the address and is then deleted. If you book, the address is kept with the appointment instead.
- Appointment records are kept for ten years. A booking you start but do not finish is kept the same way. The address of a booked visit is kept with its appointment, encrypted.
- The notary record book is kept as section 8 states.
- Stripe, Google, Resend, and Cloudflare keep their own records under their own policies.
10. Cookies
We set one cookie, for one appointment only, so you stay signed in to its appointment page. It is set when you return from Stripe Checkout at the end of booking and when you open your appointment page from the link in your email. We do not use advertising or analytics cookies.
11. Your requests
You may ask what we hold about you, ask us to correct it, or ask us to delete what the law does not require us to keep. Email notary@satxnotary.com.
12. Online notarization
Online notarization through notarizetexas.io is coming soon. Online bookings will be made there, not on this site, and its own privacy policy will cover them.

We may change this policy. The date at the top shows the last change.
